Regional Property Maintenance Coordinator

JOB OVERVIEW

Reporting to the General Manager – Special Projects, this role contributes to ensuring outstanding and quality services are delivered in keeping with SDA Building Services Inc.’s high standards of performance. The Regional Property Maintenance Coordinator works with the Support Manager to perform client onboarding, vendor management and general administrative functions that support our operations team. This role plays a key part in keeping data organized, processes running smoothly and information accurate across multiple projects and sites.

  9. Support new client and site setups, ensuring all documentation and data are complete and keep records up-to-date.
  10. Handle vendor onboarding and maintain accurate vendor data.
  11. Assist with invoicing coordination and liaise with accounting.
  12. Compile and provide budget information as required.
  13. Support rate negotiations and RFP preparation through data collection and vendor communication.
  14. Receive work orders from customers requesting service such as, but not limited to, cart corral repair, garden center set up, line paint, litter pick, landscaping, snow removal, asphalt repair, power wash etc.
  15. Locate contractors, use existing database or source new vendor to provide quotes
  16. Once the quote is approved by the customer, set up new jobs according to the job specifications and allocate the necessary resources/subcontractors/equip supplies to perform the job
  17. Follow up with contractors on work progress and communicate results to the customer/store manager/service channel. Follow up with pictures (if possible)
  18. Assist with regular monthly billing, follow up with contractors in regard to invoicing – insurance/WSIB
  19. Quote on jobs using company resources or contractor quotes
  20. Process invoices from contractors and bill the customer according to SDA accounting procedure

Superintendent

JOB OVERVIEW:

The superintendent is responsible for the efficient and effective operation of the property, ensuring a safe, clean, and well-maintained environment for all owners and visitors.

The ideal candidate will have strong technical skills in various trades, service abilities, and a proactive approach to property management. This includes both preventative maintenance and responding to owners requests and emergencies. The superintendent will manage cleaning staff and contractors, ensuring the buildings remain in good order.

Job Duties and Responsibilities
● Manage contractors and service providers for specialized tasks for example, pest control, landscaping, major interior/exterior repairs, snow clearing etc.
● Conduct periodic inspections as outlined in the tasks lists to identify and rectify maintenance needs.
● Address owner concerns promptly whenever possible.
● Manage and operate security surveillance camera monitors of the garage and property grounds.
● Enforce building rules and safety regulations ensuring compliance with local codes.
